Once you're entering more than a dozen sweepstakes a week, memory stops working. You forget which daily sweeps you've already hit today, you let good prizes expire the night they close, and you re-enter one-time-only promotions that disqualify you for entering twice. A simple spreadsheet fixes all of it — but only if the columns are built for how sweeping actually works. Here's the exact structure that keeps hundreds of active entries organized and current.
Build the four columns that do the real work
Open a blank sheet in Google Sheets or Excel and start with four columns, left to right: Sweep Name, Deadline, Entry Frequency, and Status. These are the load-bearing walls. Sweep Name is the prize plus sponsor so you can tell "Ford F-150 Giveaway" from the three other truck sweeps you're in. Deadline is the end date formatted as a real date (YYYY-MM-DD), never free text like "next Friday" — you'll want to sort on it. Entry Frequency is the single most important field: mark it Daily, Weekly, or One-time, because that word tells you whether today's entry is owed or forbidden.
Add three more to round it out: Prize Value (a dollar figure — it's how you'll prioritize when time is short), Entry URL (paste the direct link so you're one click from the form), and Notes (skip-question answers, PIN codes, or "email confirm required"). Seven columns total. Resist adding more; every extra field is one more thing you have to keep current, and a tracker you don't update is worse than no tracker. Freeze the top row (View → Freeze → 1 row) so headers stay put as the list grows past your screen.
Make deadlines and frequency impossible to ignore
A list of dates does nothing until it sorts and colors itself. Select your Deadline column and turn on conditional formatting: a rule that highlights any cell where the date is within 3 days turns your closing sweeps red automatically, so the ones about to expire jump off the screen. Then sort the whole sheet by Deadline ascending (Data → Sort range, and always "Data has header row") so the next thing to close is always at the top. Two minutes of setup buys you a tracker that triages itself every time you open it.
Frequency needs its own discipline. For every Daily sweep, the job isn't tracking a deadline — it's tracking today. The cleanest trick: keep a "Last Entered" date next to Status and, each morning, filter to Daily rows and enter every one whose Last Entered isn't today's date. When you finish a row, type today's date. That single habit is what separates people who claim their daily entries from people who mean to. For One-time sweeps, flip Status to "Entered" the instant you submit, because re-entering a one-per-person promo is a fast way to void yourself.
Keep it current, or it lies to you
The whole system rests on the Status column being true. Use exactly four values and nothing fancier: To Enter, Entered, Won, and Closed. The moment you allow yourself a fifth ad-hoc value like "maybe" or "check later," the column stops being sortable and starts being a diary. Lock it down instead — set up a dropdown (Data → Data validation → Dropdown, list those four items) so every cell can only ever hold one of the four. Now a filter on "To Enter" gives you your real to-do list for the day, with zero ambiguity about what each row means.
Discipline matters because a stale sheet doesn't just sit there — it actively misleads you. Once a week — Sunday evening works well — spend ten minutes filtering to Closed and deleting those rows, then re-sorting by Deadline so anything already past its end date gets cleared too. A tracker bloated with dead sweeps buries the live ones, and after a few weeks of scrolling past expired junk you'll quietly stop trusting the whole thing. Before you delete winners, though, copy them to a second tab called "Wins" — that running log is worth keeping, because U.S. sweepstakes prizes are taxable income and a sponsor will send a 1099-MISC on any single prize valued over $600, so having your own dated record of what you won and when saves real headaches come April.
